How to Apply Taxes in Ressio
Learn how to apply state, provincial, or country-wide taxes to your project, including how to set your project’s tax rate, show or hide tax columns, apply taxes pre- or post- markup, invoice with tax, and how to sync invoices with taxes into QuickBooks.
How to Apply Taxes in Ressio
Your estimate is a detailed list of all expenses that go into a job: materials, labor, subcontractor work, and, when applicable, taxes.
Most states have sales tax that can be included in the costs you pass along to the client. However, some states, provinces, and countries require a tax to be added to your project totals and tracked throughout the project.

In Ressio, you can set a tax rate per project and decide whether it applies before markup (builder tax) or after markup (customer tax) — or both.

Setting Your Tax Rate
You can set your project’s tax rate directly within the Estimate tab.
- Open your project and go to the Estimate tab in the left menu.
- Click the Markup and tax rate icon in the top-right corner.

3. Next to Tax rate, double-click in the Value column to enter your rate.
4. Click Close when done.

Tax Column Visibility
To display tax information in your estimate, use the Column Picker (on the right side of the estimate) and toggle on any of the following:
- Builder Tax Inclusion
- Builder Tax
- Customer Tax Inclusion
- Customer Tax
Applying Customer Tax
Customer Tax applies tax after markup and is the most common type of tax used in Ressio. This includes GST for Canada, Australia, and New Zealand, as well as certain U.S. state taxes.
To apply customer tax:
- Make sure the Customer Tax Inclusion column is visible.
- Check ✅ the Customer Tax Inclusion box for any item that should be taxed.

Applying Builder Tax
Builder Tax applies tax on your internal costs before markup, such as sales tax paid on invoices from subcontractors or materials purchased from suppliers.
💡 Most builders can include sales tax in their hard costs instead of tracking it separately. Consult your accountant if you’re unsure.
To apply builder tax:
- Ensure the Builder Tax Inclusion column is visible.
- Check ✅ the Builder Tax Inclusion box for any line item where you want to track internal tax.(Builder tax is calculated before markup.)

Invoicing with Tax
If tax is included in your estimate, Ressio automatically applies it to client invoices.
Fixed Price Projects:
- Taxes and markups are included in each line item.
- The client only sees all-in totals.
Cost Plus Projects:
- You can choose which items are taxed by checking the tax boxes individually (or selecting all at the top).
- Taxes can be displayed on the client invoice either line by line or as a total at the bottom.
Pushing to Quickbooks
If your company is integrated with QuickBooks, you can push your Ressio invoices directly into QBO.
Here’s how tax behaves in that process:
- When an invoice with tax is pushed from Ressio, the “Include tax” boxes in QuickBooks will be checked automatically.
- Ressio does not send the tax rate or amount — that rate must be set inside QuickBooks.
Recommendations:
- ✅ Set your tax rate directly in QuickBooks (e.g., GST, HST, or state sales tax).
- ✅ Set your Ressio project's financial structure to Cost Plus to avoid double-taxing.
- ✅ Review each QuickBooks invoice after syncing to confirm that taxes are applied correctly.
