How to Filter, Use Tooltips, and View Subtotals in Ressio

Use filters to narrow down your project data, hover over column headers to understand what each column tracks, and read subtotals to quickly sum any group of rows. These tools are available in the Budget, Bills, Approvals, and Time Tracking Clock Pages.

Several pages in Ressio include three tools that help you work with financial data more efficiently. Here is a quick summary of each one.
  • Filters - Show only the rows that match conditions you set. Filter by vendor, status, date, cost code, and more. 

  • Column tooltips - Hover over any column header with a ⓘ icon to see a plain-language description of what that column tracks.
  • Subtotals - A highlighted row that automatically sums numeric columns for the rows currently visible in the grid.

ℹ️ Permissions notes: These tools are available to any user who can access the Budget, Bills, Approvals, or Time Clock tables. Field users with restricted financial access will not see the Budget table. Contact your company admin if you think your access needs to be updated.

How to Filter


Filters let you hide rows that do not match your criteria, so you only see the data you are looking for. You can apply one filter or combine several at once.

  1. Go to the page you want to filter - Open your project and navigate to Budget, Bills, Approvals, or Time Clock from the left menu.
  2. Click the filter icon - Look for the funnel icon in the toolbar at the top of the table and click it to open the filter panel or you can click in the into the header and find the funnel icon there.

  3. Select the filter icon - Choose the column you want to filter on, such as Vendor, Status, Cost Code, or Date.
  4. Set your condition and value - Pick a condition like "is equal to," "contains," "is before," or "is greater than," then enter the value you want to match.

  5. Add more filters if needed - Click the funnel to stack additional conditions and select. The grid will show only rows that match all active filters at the same time.
  6. Clear filters when you are done - Deselect or uncheck the filter to remove it, or click "Clear filters" to remove all of them at once. The table returns to showing all rows.

💡 After filtering, click any column header to sort the remaining rows. This is useful for spotting your largest expenses or the most overdue bills.

Column Tooltips

Some columns in Ressio have specific meanings or calculations behind them that are not obvious from the column name alone. Tooltips give you a quick explanation without having to leave the page.

  1. Navigate to the page you want to work with - Go to the Budget, Bills, Approvals, or Time Clock inside your project.

  2. Look for the ⓘ icon next to a column header - Not every column has a tooltip. The ⓘ icon appears next to columns that have additional context worth explaining.
  3. Hover over the column header - Move your cursor over the header. A small pop-up appears with a plain-language description of what the column contains and how its value is calculated or populated.

🎓 Tooltips are most helpful in the Budget grid, where columns like "Projected," "Committed," and "Applied Actuals" each have specific calculation rules. For a full reference of all Budget column definitions, see the Budget Overview article.

How to Read Subtotals

Subtotals automatically sum the numeric columns in whatever rows are currently visible. You do not need to do anything to turn them on. They appear whenever your grid has grouped or filtered rows.

⚠️ Subtotals reflect your current view. If filters are active, the subtotal only includes the rows that match your filter. Clear all filters to see a total for the full table.

  1. Apply a filter or group your data - Filter the table by any field. The subtotal row updates automatically to reflect the rows currently visible.
  2. Find the subtotal row - The subtotal row appears at the bottom of each group or at the bottom of your filtered results. It is highlighted in a dark gray so it stands out from the regular data rows.
  3. Read the valuesEach numeric column in the subtotal row shows the sum for all visible rows. Text columns, such as "Vendor" or "Status," show a row count instead, for example "3 bills."

Tools by Table

Budget

Filters in the Budget table help you focus on a specific subset of your project costs. For example, you can filter by cost code to see all spending in a particular trade, or filter by completion status to see which line items are still open.

Subtotals in the Budget table sum the filtered rows, so you can compare a portion of your costs against the full project total without exporting to a spreadsheet.

Tooltips are especially useful in the Budget because column names like "Projected," "Committed," and "Applied Actuals" each have specific meanings. Hover over any column header with a ⓘ icon to get a plain-language explanation.

💡 Filter by "Completion Status" to quickly see all line items that are still in progress, or filter by "Cost Code" to check spending within a specific trade category.

Bills

The Bills table lets you filter across all your projects at once. Useful examples include viewing all unpaid bills due this week, showing all bills from a specific vendor, or filtering by amount range to find your largest outstanding invoices.

Subtotals on the Bills table show the total dollar amount for your filtered results, which helps when you need to reconcile expenses against a purchase order or a budget line.

Approvals

In the Approvals table, filters let you narrow down by document type, approval status, and date. For example, you can show only pending change orders or view all selections approved in a specific month.

Subtotals in Approvals calculate the combined dollar impact of the documents currently shown, which is useful when reviewing the financial effect of a group of changes.

You can see the subtotals on Change orders, Purchase orders, and Selections.  

Time Clock

In the Time Clock table, filters help you view hours by employee, cost code, or date range. Subtotals calculate total hours and total labor cost for your filtered results, making it easier to review payroll costs for a specific period or trade.

Frequently Asked Questions

Common questions about filtering, tooltips, and subtotals in Ressio. 

Do my filters save when I leave a page and come back? 

Filters are session-based and do not save automatically. When you navigate away from a page and return, your previous filters will be cleared. If you need to review the same filtered view regularly, make a note of your filter settings or use the export feature to save a snapshot of the filtered results.

Can I filter by more than one value in the same field?

Yes. For fields like Vendor or Status, you can select multiple values at once. For example, you can filter bills to show both "Approved" and "Paid" at the same time so both statuses appear in your results. You can't stack filters in one column on the Budget page. 

Why is a column not showing a subtotal? 

Subtotals only appear for numeric columns where summing the values makes sense, such as dollar amounts or hours. Text columns like "Vendor" or "Status" show a row count instead of a dollar total. If no subtotal row is visible at all, check that at least two rows are present in the filtered view.

I do not see the filter icon in my table. What should I do? 

First, confirm you are viewing one of the supported tables: Budget, Bills, Approvals, or Time Clock. If you are in the right place and still do not see the filter icon, try refreshing the page. If the problem continues, your user role may not have access to that grid's financial data. Contact your company admin to confirm your permissions, or reach out to Ressio support at support@ressiosoftware.com.

Do tooltips appear on every column?

No. Tooltips only appear on columns that have a specific meaning or calculation that is not obvious from the name alone. Straightforward columns like "Vendor" or "Date" do not have tooltips. Look for the ⓘ icon next to a column header to know a tooltip is available.

Can I export a filtered view? 

Yes. After applying filters, right-click anywhere in the grid and choose "Export." The file will include only the rows currently visible based on your active filters. This is useful for sharing a specific slice of project data with a team member, client, or lender.

How is a subtotal different from the Budget Summary? 

The Budget Summary panel always shows totals for your entire project, including Original Price, Approved Changes, and Projected Price. Subtotals in the grid are dynamic and update based on whatever rows are currently visible. Use subtotals when you want to analyze a portion of your costs. Use the Budget Summary for your full project financial picture.

Can my clients or homeowners use filters?

Clients who have access to the Budget table in their Client Portal can view the data you have shared with them, but their filtering options are more limited than what you see in the full Ressio interface. Can I filter the Bills table from outside a specific project? 

Yes. The Bills page is accessible from the main left menu and shows bills across all your projects. You can filter by project name along with other fields to view bills for a specific job from this cross-project view.

Do these tools work on the Ressio mobile app?

Filtering, tooltips, and subtotals are built for the desktop and browser experience where there is more screen space for these controls. On the Ressio mobile app, you may see a simplified version of these tools. For the best experience when working with financial data, we recommend using Ressio on a desktop browser.
