Tracking Changes in Adaptive

Learn how to enable change tracking in Adaptive, push Approved Change Orders from Ressio with builder cost and customer price, and keep Ressio and Adaptive in step.

Enable Change Tracking in Adaptive when:

  • You've linked a new Ressio project to Adaptive
  • You're about to approve the first change order on a project linked to Adaptive

⚠️Projects linked to Adaptive will display a banner on change orders prior to approval: "Before pushing this change order, turn on 'Changes + revised budget' in Adaptive." This banner is only visible to Admin users.

Before you start, make sure:

  • Your company has Adaptive connected in Ressio in Company settings > Integrations
  • The Ressio project is linked to an Adaptive job in Project settings > Financials
  • You can sign in to Adaptive with access to the job's settings

How to turn on change tracking in Adaptive

  1. Sign in to Adaptive and open the job you've linked to your Ressio project
  2. Navigate to Job settings > Set up > Change tracking
  3. Enable Changes + revised budget
  4. Save the setting
  5. In Ressio, approve the change order as usual

Do this for every Adaptive job that's linked to a Ressio project.

⚠️Adaptive locks this setting after a job's first change order.

What happens next

When you approve a change order in Ressio, a status badge appears on the change order page:

  • Pushing: Ressio is sending the change order to Adaptive.
  • Pushed: the change order is in Adaptive. Hover over the badge to see when.
  • Failed: something stopped the push. Hover over the badge to see why (see Troubleshooting below).
  • Pending: the change order is no longer approved. Approve it again to push it to Adaptive.
  • Canceled: the change order was canceled after it was pushed. Adaptive still has it, so remove it in Adaptive.

Team Members with access to the change order see the status badge. Customers never see it in the customer portal.

✍️In Adaptive, the change order appears on the job with the Ressio change order name as its Ref #

Names longer than 50 characters are shortened and end with part of the change order's ID.

Troubleshooting

I pushed change orders before turning on change tracking, and I can't see them in Adaptive

Change orders pushed while change tracking is off don't appear in Adaptive. Because Adaptive locks the setting after the first change order, you may not be able to turn it on for that job.

The badge says "Adaptive needs to be reconnected"

Ressio needs new permissions in Adaptive to push change orders. Company Admins see: "Adaptive needs to be reconnected. Reconnect it under Company settings > Integrations, then retry."

  1. Go to Company settings > Integrations and click Reconnect on the Adaptive card.
  2. Sign in to Adaptive with the same Adaptive company as before, and approve the change order permissions.
  3. Open each Failed change order and click Retry.
The badge says cost codes are missing an Adaptive mapping

One or more cost codes on the change order aren't mapped to an Adaptive cost code. Click Cost codes in the message to map them, then have a company Admin click Retry.

The badge says "Adaptive has markups on this change order"

The full message is "Adaptive has markups on this change order; remove them in Adaptive, then try again". Remove the markups from the change order in Adaptive, then have a company Admin click Retry in Ressio.

The badge says "This change order now totals zero, but Adaptive still holds the earlier amount"

The change order was pushed before and was then re-approved at zero. Adaptive won't accept a change order with all lines at zero, so Ressio couldn't update it. Clear the change order in Adaptive.

Only some people see the Retry button

Only Admin users can retry a push.
