Managing Client Access

Leverage Ressio's client portal to keep your client(s) informed on your project's progress, address questions/concerns, and receive timely sign-offs on approval documents

Ressio makes it easy to selectively share project information with your clients.

    Previewing the Client Portal

    Want to see what your client will see when they access their project?

    Select the 👁️ Eye icon. It appears on every page. The client portal opens in a new, mobile-shaped window.

    💡 The client portal is optimized for mobile but can be used on all devices.

    Layout

    The client portal is organized into five sections along the bottom menu.

    Customizing your client's view

    Once clients have access to Ressio, they have a very limited view of project information. Sharing additional project information is controlled through five mechanisms.

    • Released approval documents

    • Estimate Lock

    • Task Assignments

    • Customer Visibility

    • Project Settings



    Default Access

    By default, clients can only view the Specs page. The Specs page is based on the left hand of the estimate column. No prices are shown, only the category and cost item names and descriptions. The Specs page will likely match the proposal.

    Released Approval Documents

    Approval documents usually include pricing information and require a client signature. Client facing approval document include:

    These documents include an option to Release. Once selected, an email with a link to Ressio will be sent. Approval documents can be tracked by statuses, like Draft, Released, Approved, Declines, and Void.

    Clients have the option to view the pricing information on the documents, and either Approve, Decline, or send a message. Builders are notified of any client action.

    Estimate Lock

    Once a proposal or contract is signed, builders should lock the estimate.

    Locking the estimate will make the project base price visible in the client portal. It also allows you to issue change orders, and certain types of client invoices.

    Task Assignments

    Similar to approval documents, clients can be assigned to tasks to share information. Tasks appear in two areas:

    • Schedule

    • To-dos

    Assigning a client to a To-do will automatically notify them via email. Schedule tasks will be visible based on project settings and clients can be notified by choice.

    Customer Visibility

    For information that doesn’t include pricing and doesn’t require approvals, you can choose whether clients can see it by changing the visibility. This information includes:

    • Daily Logs

    • Files

    • Messages

    Daily Logs can be Internal or Customers. Client can only see Customer logs. By default, Daily Logs are Internal.

    Files have four visibilities:

    • Internal

    • Customer

    • Vendor

    • Public

    Clients see files with both Customer and Public visibility. Visibility defaults are different depending on where the file is added.

    Messages can be sent to different stakeholders. Each message you send has a channel that controls visibility:

    Channel Visible to  Purpose
    Customer (Homeowners)  Customers & Team Members Communicate directly with your clients.
    Vendors Vendors & Team Members Collaborate on trade-related items and specs. (If specs aren’t shared with vendors, they won’t receive messages.)
    Public Customers, Trades, & Team Members Share updates meant for everyone involved.
    Internal Team Members Only Discuss privately with your internal team.
    View All All threads in one place Centralized view for all communication.

    Clients will receive messages sent to both Customers and Public. Message defaults are different depending on from where the message is sent. 

    General Messages can only be sent to customers and internal.

    Projects Settings

    Go to Project settings and under the Customer tab to edit Customer Project settings.

    Schedule

    View assigned phases & tasks — Customer can view any schedule phases or task assigned to them

    View all phases — Customer can view all schedule phases in a list and calendar view

    View gantt chart — Customer can view all schedule tasks in a gantt chart

    Specifications

    View list — Customer can view all specifications

    View cost breakdown — Customer can view detailed cost breakdown for specification items

    Budget

    View info - Customer can view budget information

    View projections — Customer can view pending changes, actual adjustments, and projected price in the budget summary

    View table — Customer can view full cost breakdown in the budget table

    View table actuals — Customer can view bill name, amount, vendor name, and issue date in the "Actuals" column of the budget table

    Change log

    View list — Customer can view the change log

    Approvals

    View draft selections — Customer can view draft selections in the approvals screen
